Export/Import Saved Report Definitions

shelly.simpson Internal
· Feb 13 2022

Idea Summary
The ability to export a report definition (columns, filters, sort, control break, etc.) to send to other users (within the same application).  And, the ability to import these definitions when another user sends them to you.

Use Case
We have teams of users that need to see the same reports, and Saved Reports are not sharable expect to public.  We need to be able to share a report among a group of users.  This would allow one user to create the report definition, then share with other team members, saving time and the possibility of inconsistent reports across users.

Preferred Solution (Optional)
Export and Import buttons on the Saved Reports dialog.

This request is likely a duplicate of FR-2778.

We need a better way to share reports, without saving them publicly, as our user community is large and we do not want the list of public reports to become long and unorganized.  The publicly saved reports should be of interest to all the users, not just a small group.

The users work many times in small groups to review and prioritize the records in the system, requiring they review the same report prior to their meetings:  exporting to another format defeats a main purpose of the app (the data gets stale, and there are multiple versions floating around), and having each person manually build the same report is redundant.

Our application is also growing scope, which sometimes requires changes to the underlying data structure, which can break saved reports.  If we were able to export/import report definitions, one person in the team could build the reports for everyone, saving them time.  And, the more sophisticated users could create more impactful reports for the other team members.

Hi Shelly, how would this feature idea be different from your other idea FR-2334? Aren't they covering the same issue?

  • shelly.simpson OP 3.4 years ago

Hi Patrick, it would be a different way to approach the sharing of reports; but in my opinion this would be the lesser of the two.  With this one, users can still share reports, but each user would have their own version of the report - so if the reported needed to be changed (add/remove a column, filter, etc.) each user would have to make the update to their copy of the report.  With the other solution, there would be only one (1) definition of the report, that the owner would update for everyone in the group to see.  Thx!
